For heating engineers

Lead response for heating engineers, even in a cold snap.

Breakdowns, services, landlord checks and boiler quotes, sorted and answered fast. Every enquiry is acknowledged in seconds, safety issues are flagged at once, and a reply in your tone is drafted for your one-tap approval.

Heating enquiries don't arrive evenly

For most of the year the work is steady: services, the odd breakdown, a few install quotes. Then the first properly cold week arrives, every boiler that's been ignored since spring gets switched on, and the enquiries all come at once. That's exactly when you're busiest on the tools and least able to reply, and it's when a family with no heating will take whoever answers first.

Slow replies cost work in any trade. In a 2022 Fix Radio survey of more than 220 UK tradespeople, 34% said they believed they had lost work because they couldn't answer the phone. Lead response is about making sure the enquiries you've already paid for, through your website, Google or a directory, get a proper answer while the customer is still deciding.

Sorting heating enquiries properly

A useful first reply depends on what kind of job it is. These are the main types we sort and draft for:

  • Breakdowns. No heating, no hot water, a boiler locking out or showing a fault code. We ask for the make and model, the code, whether it's heating, hot water or both, and whether anyone at the property is elderly, very young or unwell, so you can prioritise.
  • Gas smells and carbon monoxide alarms. These are flagged straight away and never sent automatically. The draft puts safety first: leave the property, don't use switches, and call the National Gas Emergency number, 0800 111 999.
  • Servicing. Annual services are easy to book if the reply includes your price and a few slots.
  • Landlord gas safety checks. Landlords need an annual gas safety check on the appliances they provide. We ask how many properties and appliances, the expiry date of the current record, and how to arrange access with tenants.
  • Boiler replacements and new systems. We ask for photos of the current boiler and flue, the property size, number of radiators and bathrooms, and the timescale, then offer a survey slot.
  • Not a fit. Out-of-area postcodes, oil or LPG work if you don't do it, and sales calls dressed up as enquiries.

The customer and business below are made up.

Email, Sunday 19:40: "Our combi boiler keeps locking out and we've no heating. Hot water comes and goes. We've got a newborn so it's a bit urgent. Leeds LS8."

Hi Hannah, thanks for getting in touch, and sorry, that's not what you need with a newborn. We've put you down as a priority. Could you reply with the make and model of the boiler and any fault code on the display? A photo of the pressure gauge helps too. We can be with you tomorrow between 8 and 10am. Our call-out is £85 including the first hour. If you smell gas at any point, leave the house and call 0800 111 999.

The customer got an acknowledgement within seconds. The draft reached you with the urgency flagged, and you approved it from your phone.

How it works for a heating business

No new number, website or app. Your enquiries are forwarded to us, and replies go out in your name once you approve them.

  1. Capture

Web forms, enquiry emails and directory alerts come to your private intake address. Every enquirer with an email address gets an instant acknowledgement.

  2. Triage

Breakdowns, safety issues, services, landlord checks and install quotes are told apart. We check the postcode against your area and score each lead Hot, Warm or Not a fit.

  3. Draft

We write a reply in your tone, with the right questions for that job type, your prices where you've given them, and slots from your booking link.

  4. Approve and follow up

You approve by email with one tap. Quotes, emergencies and anything unusual always come to you, and follow-ups continue until the customer books or says no.

Why written enquiries matter in heating

Plenty of heating work starts in writing: a form filled in at 10pm, an email from a landlord with three properties, a directory request for a boiler quote. Phone answering services and AI call bots don't touch those. We focus on the written side, so every written enquiry gets a quick, specific answer, whichever way it came in.

If you'd like to see where you stand today, the free speed test sends one small, genuine-style enquiry to your website, with your OK. We never book fake appointments or take emergency slots. You get a one-page result showing how long the reply took, what the customer saw, and the reply we would have drafted.

Questions owners ask

Do you handle gas emergencies?

We flag them straight away and never send them automatically. The draft tells the customer to leave the property and call the National Gas Emergency number, 0800 111 999, and the lead comes to you at once. We don't give technical advice beyond your agreed safety lines.

Can replies include our prices?

Yes, but only the prices you give us, such as your call-out fee, service price or landlord check price. For installs the reply offers a survey or asks for photos rather than guessing a figure.

What happens in a cold snap when enquiries pile up?

Every enquiry still gets an instant acknowledgement and a drafted reply. If you go over your plan's lead limit, extra leads cost £2 each, and we tell you before that happens.

Do you answer calls live?

No. We don't answer or handle phone calls. We handle written enquiries: web forms, emails and directory leads.

Do I have to change my booking system?

No. Replies offer slots through your existing booking link, such as Calendly or a Google or Outlook booking page. If you don't use one, we can work from a daily next-free-slot line.

How long does setup take?

Live within 5 working days, done by email with a short written questionnaire. You start on approve-every-reply until you're comfortable.

Find out how fast you really reply
